Using the Vtiger Gmail add-on

This article will guide you to use the Vtiger add-on in Gmail.

Google has created customized add-ons for Google Workspace. For example, add-ons include apps such as Google Contacts, Google Calendar, Google Keep, etc. 

Vtiger for Gmail as an add-on

If you are a Vtiger user, you can integrate Vtiger as an add-on to your Gmail. This add-on will help you get a 360° view of your Contact without leaving Gmail.

Enabling Vtiger Gmail Add-on

If you want to get an add-on, make sure to have a Google account. If you don’t have one yet, click here to create an account.

Once you create the account, you can enable the Vtiger Gmail add-on. You will need to do the following to enable the add-on:

  1. Install the Vtiger Gmail add-on​​​​​​
  2. Authorize your Vtiger account with Google
  3. Login to your Vtiger Gmail add-on 

Note: Vtiger Gmail add-on replaces the Vtiger Chrome extension plugin. We advise you to disable the plugin if you have enabled it as both of them have the same functionalities, and they might create a conflict.


Installing the Vtiger Gmail add-on

Follow these steps to install the Vtiger Gmail Add-on from Gmail inbox:

  1. Log in to your Gmail account.
  2. Click the Show side panel icon on the bottom right corner of the screen.
  3. Click the + (Get Add-ons) icon in the panel. The Google Workspace Marketplace window will open. 
  4. Search for Vtiger Gmail Add-on.
  5. Click the Vtiger CRM Gmail Add-on.
  6. Click Install.
  7. Click Continue to confirm the installation.
  8. Choose your Gmail account.
  9. Click Allow to give permissions.
  10. Click Done in the ‘Where to find the add-on’ window.

After installation, refresh the page to find the Vtiger Gmail add-on in the side panel.

Note: Domain admins can install the add-on for all domain users. They can also show or hide the add-on.


Authorizing your Vtiger account

Follow these steps to authorize your Vtiger account with Google:

  1. Log in to your Gmail account.
  2. Click the Show side panel icon on the bottom right corner of the screen.
  3. Click the Vtiger Gmail add-on in the panel.
  5. Choose the email if you’re logged in to more than one account.

Once you give the authorization, you will be able to log in and use the Vtiger add-on.

Logging in to Vtiger Gmail add-on

To view contact information, you have to log in to your Vtiger CRM account through the add-on. Follow these steps to login:

  1. Log in to your Gmail account.
  2. Click the Show side panel icon on the bottom right corner of the screen.
  3. Click the Vtiger Gmail add-on in the panel.
  4. Click on any email in your inbox.
  5. Click the Login button in the add-on.
  6. Choose your Vtiger account.

Once you log in, you will get access to your CRM via the Vtiger add-on from your Gmail. You have to open an email and click the Vtiger add-on to view the details. 


  • Ensure that your CRM and Gmail usernames are the same. 
  • Please enable ‘Google SSO in Vtiger Authentication settings’ to login to the Vtiger Gmail add-on.

Actions Possible in the Add-on

Now that you have enabled the add-on let us see what you can do. 

With the Vtiger add-on installed on your Gmail, it will take a few clicks, and the world of your contacts is at your fingertips.  From Gmail, you will be able to create contacts, view contact details, and perform a host of other actions. 

Creating a Contact 

When you click on an email, if no contact records in your CRM account match the sender’s email address, you can create a contact by clicking the ADD CONTACT button.

Follow these steps to create a contact:

  1. Log in to your Gmail account.
  2. Click the Show side panel icon on the bottom right corner of the screen.
  3. Click the Vtiger Gmail add-on in the panel.
  4. Open an email. If the contact is not a part of your CRM, the ‘ADD CONTACT’ button is enabled.
  5. Click the ADD CONTACT button to create the record.
    • Note: During the contact creation, details such as contact names and email addresses are automatically pulled from the email. 
  6. Click Save.

The contact will be saved in the CRM.

Viewing a Contact

Once you create a contact in your CRM from Gmail, you can view the Contact’s details. You can also perform the following actions on the contact record:

  • Click the Edit button to edit the record. You can edit the first name, last name, email ID, organization, assigned to, etc., for a contact.
  • Click the Comments button to view related comments and post a comment. 

Note: Rich Text Editor is not available for the comments you post through the add-on. That means you can post your comments with only plain text.

  • Click the Details button to view the contact information in the CRM.

The More icon on the top right of the contact card - clicking this icon will display a drop-down menu. Using the menu options, you can view key information and perform the following actions on a contact: 

  • Archive Email - Click on ‘Archive Email’ to attach the opened email to the related contact.
  • Timeline - Click on ‘Timeline’ to list all the activities made on the record. You can view the recent updates made, such as added events, comments, etc.
  • Emails - Click on ‘Emails’ to view all emails, including archived emails, related to a contact. You can view the entire content in the CRM by clicking on the Email icon.
  • Activities - Click on ‘Activities’ to view the three recent activities made on the contact record. You can click ADD EVENT to add a calendar event with the contact.
  • Opportunities - Click on ‘Opportunities’ to view all the opportunities related to the contact. Click on the ADD OPPORTUNITY button to create an opportunity. You can view the details of the opportunity in the CRM by clicking it.
  • Cases - Click on ‘Cases’ to view all the cases related to the contact. Click on the ADD CASE button to create a case. You can view the details of the case in the CRM by clicking it.
  • Quotes - Click on ‘Quotes’ to view quotes related to the contact.
  • Invoices - Click on ‘Invoices’ to view invoices related to the contact.
  • Settings - Click on ‘Settings’ to enable or disable the options mentioned above.
  • Sign out - Click on ‘Sign out’ to log out of your Vtiger CRM account. To log in again, open an email, and click Login.
  • Refresh - Click on ‘Refresh’ to reload the add-on.
  • Manage Add-on - Click on ‘Manage Add-on’ to uninstall the Vtiger Gmail Add-on.

Note: If you make any changes in ‘My Preferences’ (timezone, date format, etc.), you will have to login again to the add-on to apply those changes.

Vtiger Gmail Add-on in Mobile 

Even if you are not in front of your computer, you can still access your Vtiger Gmail Add-on on your mobile. You can add contacts and perform various actions on-the-go.

Follow these steps to access Vtiger Gmail Add-on on your mobile:

  1. Open the Gmail application on your mobile phone.
  2. Log in to your Gmail account in which the add-on is enabled.
  3. Open an email.
  4. Tap on the Vtiger Gmail Add-on beside ‘Available add-ons:’ at the bottom of the screen.

You can perform all the actions mentioned here on a contact record in the mobile app as well.
