    MS Teams and Vtiger CRM Integration

    Introduction

    MS Teams is a popular internal collaboration tool from Microsoft.

    With Vtiger CRM integration, Teams' users can view contact and deal information directly in MS Teams Channel and Chat tabs. Along with this, Teams' users can add dashboards to their Personal and Channel tabs.

    MS Teams is used by over 100 million users across organizations in all industries. Using MS Teams, you can,

    • Create channels for topic-wise or group-wise collaboration. Channels are dedicated sections for a team to discuss a project, topic, etc. 
    • Collaborate in real-time with a chat-like interface within the channels.
    • Create online meetings and share screens with up to 10,000 participants.
    • Chat and make video calls with individuals.
    • Use virtual backgrounds that allow participants to place themselves ‘anywhere’ they want to be.
    • Get recording transcripts.
    • Use Sharepoint integration to access and store documents.

    Sign up for a new Vtiger CRM account for your business if you do not have one. 

    Here are a few benefits of MS Teams & Vtiger CRM integration:

    • Add Vtiger tabs to your Team Channels to easily access CRM dashboards within Teams. You can also add Contact, Task or Deal lists., for easy access.
    • Use Vtiger message extension, enabled by Vtiger Bot, to share specific Contact, Deal, or Task info with your team.
    • Add Vtiger as a personal tab to access your deals, tasks, and contacts. 
    • Get your agenda of the day or the details of a contact, deal or task, by using Vtiger bot in the chat window.

    Activating MS Teams in Vtiger CRM

    To activate MS Teams and Vtiger integration, you need to do the following:

    1. Install Vtiger CRM app in MS Teams.
    2. Install MS Teams add-on in Vtiger.

    Installing Vtiger CRM App

    Follow these steps to install the Vtiger CRM app in MS Teams:

    1. Log in to your MS Teams account.
    2. Click on Apps.
    3. Search for Vtiger CRM.
    4. Here you have three options:
      • Click Add to add Vtiger to the Personal tab.
      • Click Add to Team to add the Vtiger page as a Channel tab. You can choose the page you wish to add, like Tasks, Deals, etc. 
      • Click Add to Chat to add Vtiger Bot to your Chat window.

    Vtiger CRM app is now added to your MS Teams account.

    Installing MS Teams Add-on

    MS Teams add-on is automatically added if you are signing up for Vtiger CRM from MS Teams. You can manually install the MS Teams add-on in the CRM only if you are an administrator.

    Follow these steps to install the MS Teams extension manually in VTiger CRM: 

    1. Log in to your CRM account.
    2. Click the User Menu on the top right corner of the screen.
    3. Click Settings.
    4. Go to Extensions.
    5. Select Extension Store.
    6. Search and install the MS Teams extension.

    MS Teams add-on is now installed in your CRM account.

    Actions you can do in MS Teams

    You can do the following from MS Teams:

    • Add Vtiger CRM’s Dashboards in your Team's Channel tab.
    • Share Contact or Deal cards with your colleagues directly within the Channel conversation.
    • Converse via Vtiger bot to get Contact or Deal information from the Chat tab. 

    Adding Vtiger Dashboard or List to your Team Channel

    Follow these steps to add a CRM dashboard in MS Teams:

    1. Log in to your MS Teams account.
    2. Click on Apps.
    3. Search for Vtiger CRM.
    4. Click on Add to Team to add the Vtiger page as a Channel tab. 
    5. Choose the page you would like to add, like Dashboard, or Tasks, Deals, etc.

    Use Vtiger Message Extension in your Team Channel Posts window.

    Follow these steps to add a CRM dashboard in MS Teams:
    1. Click on New Conversation from the Posts window, and either type "@vtiger" or click on Vtiger icon. 
    2. You will be able to search for a contact, deal, task and share the details with your team. If there are multiple matches you can select one to retrieve the full details and share with team. 

    Adding Vtiger as your Personal Tab

    Follow these steps to add a CRM dashboard in MS Teams:
    1. After adding Vtiger to Teams Channel, click on "More added apps" in the left panel
    2. Search for Vtiger.
    3. Click on Add to add Vtiger as a Personal tab. 
    4. You will find "Chat", "My Tasks", "My Deals", "My Cases", and "About" tabs when you select Vtiger from the left panel.

    Chatting via Vtiger Bot

    From the Chat tab in Teams, you can send commands to Vtiger Bot to retrieve information from CRM.

    The commands listed below are supported in Vtiger Bot:

    1. My Agenda - You will see upcoming meetings for the day.
    2. Search Contacts *Keyword*- You can search for a contact by First or Last Name, Phone number, or Email address of a contact. If multiple matches are found, Vtiger will return the one created first. For example, Search Contact John, Search Contacts john@testemail.com, etc.
    3. Search Deals *Name* - You can search for a deal only by its Deal name. If multiple matches are found, Vtiger will return the one created first. For example, Search Deal Grasspods.

     Similarly, you can fetch a record from other modules like Cases, Tasks, etc., using the command Search *Module* *Name*.

    Deactivating MS Teams in Vtiger CRM 

    To remove MS Teams and Vtiger CRM integration, you need to do the following:

    1. Uninstall Vtiger CRM app from MS Teams
    2. Uninstall MS Teams add-on from Vtiger CRM

    Uninstalling Vtiger CRM App

    Follow these steps to uninstall the Vtiger CRM app from MS Teams:

    1. Log in to your MS Teams account.
    2. Click on Apps.
    3. Search for Vtiger CRM.
    4. Click Uninstall.

    Vtiger CRM app is now uninstalled from MS Teams.

    Uninstalling MS Teams Add-on

    Follow these steps to uninstall MS Teams add-on from Vtiger CRM:

    1. Log in to your CRM account.
    2. Click the User Menu on the top right corner of the screen.
    3. Click Settings.
    4. Go to the Extension Store.
    5. Search and open MS Teams.
    6. Click Uninstall.

    MS Teams add-on is now uninstalled from Vtiger CRM.
