Whitelisting Vtiger IP Address in Exchange 2013, 2016, or Microsoft Office 365

Introduction

This article provides information about whitelisting the Vtiger IP address in Outlook Exchange 2013 and 2016 versions. 

If you have already configured your inbox in Vtiger, but you are unable to send emails (email status = Queued), you can follow this simple troubleshooting process. 



Fetching the IP address

You must add the Vtiger IP address (CRM hosted server IP address) in the allowed IP address list in Outlook Exchange or Office 365.

You can get the IP address of your Vtiger instance from www.mxtoolbox.com.

 

Follow these steps to fetch the IP address:

  1. Log on to www.mxtoolbox.com.
  2. Click the SuperTool tab.
  3. Type your instance URL in the space provided. 
    • For example, your URL can be grasspods.od1.vtiger.com. You can find it in your browser’s URL bar.  
  4. Click the downward arrow on the right and select DNS Lookup.
  5. Click DNS Lookup to search.

The IP address is shown under the IP Address column.


Steps for Whitelisting IP Address

You must add the Vtiger IP address (CRM hosted server IP address) in the allowed IP address list in Outlook Exchange. 

 

Follow these steps to add the IP address:

  1. Log into your Outlook mail server admin portal.
  2. Click Admin.
  3. Select Exchange under Admin Centers in the left menu.
  4. Click the connection filter option under protection.
  5. Click the Edit icon on the top left to edit the default connection filter policy.
  6. Select connection filtering (shown on the left).
  7. Click the + sign under the IP Allow list to add an IP address.
  8. Enter the IP address in the space provided under add allowed IP address.
  9. Click OK.

We're not done yet… You need to perform an additional step to complete the process.

Bypassing Clutter and Spam Filtering

Follow these steps to ensure that Vtiger’s messages go around your Clutter folder and spam filtering within Microsoft's EOP.

  1. Select Mail Flow from the left menu in the Exchange admin center.
  2. Click the + button under Rules, then click Bypass Spam Filtering.
  3. Name the rule. For example, you can call it ‘Bypass clutter and spam filtering by IP Address’.
  4. Click the Apply this rule if... drop-down.
    1. Select The sender.
    2. Then select IP address is in any of these ranges or exactly matches.
  5. Enter Vtiger’s IP addresses, then click OK.
  6. Click the Do the following drop-down.
    1. Select Modify the message properties.
    2. Then select set a message header.
  7. Click the *Enter text... button after ‘Set the message header’ to set the message header.
  8. Enter the following message header - ‘X-MS-Exchange-Organization-BypassClutter’.
  • This field is case-sensitive.
  1. Click OK.
  2. Click the *Enter text... button after ’to the value’ and enter ‘True’
  • This field is case-sensitive. 
  1. Click OK and then add action.
  2. Select Modify the message properties from the Do the following... drop-down.
  3. Click Set the spam confidence level (SCL) to... 
    1. Select Bypass Spam Filtering.
  4. Click Save.
