Microsoft Teams and Vtiger CRM Integration

Activating Microsoft Teams in Vtiger CRM
To activate Microsoft Teams and Vtiger integration, you need to do the following:
- Install the Vtiger CRM app in Microsoft Teams.
- Install the Microsoft Teams add-on in Vtiger.
Installing Vtiger CRM App
Follow these steps to install the Vtiger CRM app in Microsoft Teams:
- Log in to your Microsoft Teams account.
- Click on Apps.
- Search for Vtiger CRM.
- Click Add to Team to add the Vtiger page as a Channel tab. You can choose the page you wish to add, like Tasks, Deals, etc.
The Vtiger CRM app is now added to your MS Teams account.
Installing Microsoft Teams Add-on
Microsoft Teams add-on is automatically added if you sign up for Vtiger CRM from Microsoft Teams. You can manually install the Microsoft Teams add-on in the CRM only if you are an administrator.
Follow these steps to install the Microsoft Teams extension in Vtiger CRM manually:
- Log in to your CRM account.
- Click the User Menu on the top right corner of the screen.
- Click Settings.
- Go to Extensions.
- Select Extension Store.
- Search and install the Microsoft Teams extension.
Microsoft Teams add-on is now installed in your CRM account.
Enabling Activity Feed Notifications in MS Teams
The activity performed in Vtiger CRM is displayed in an activity feed in the MS Teams application. You can directly access the record in which the activity is performed via the MS Teams activity feed.
Note: The MS Teams application does not notify these activities by default. To receive these notifications, your admin must enable the activity feed notifications through the web.
Follow these steps to enable the activity feed notification.
- Log in to MS Teams Admin Centre.
- Click the Main Menu.
- Click Team Apps.
- Click Manage Apps.
- Search for Vtiger CRM.
- Select the updated version of Vtiger CRM. Application details are displayed.
- Click on the Permissions tab.
- Click Review Permission. A sign-in window pops up.
- Select the Admin account.
- Click Accept.
- Click the Actions icon in Vtiger CRM.
- Click Alert Rules.
- Click +Add Alerts.
- Enter or Select information for the following fields:
- Select Alert: Select the type of alert required from the drop-down.
- Module: Select the required module from the drop-down.
- Alert Message: Enter the required alert message.
- Conditions: Add the required conditions.
- All Conditions: Add conditions if all of them have to be satisfied.
- Any Conditions: Add conditions if any of them has to be satisfied.
- Check the Microsoft Teams checkbox.
- Click Save. You have successfully created an Alert for the MS Teams application.
You will start receiving notifications of CRM on the Activity bar in the MS Teams application. Click the Activity tab in the sidebar of the MS Teams application to view the Alert notifications. Open the required notification and click View Record to access the record from the CRM.

Actions Possible in Microsoft Teams
You can do the following from Microsoft Teams:
- Add Vtiger CRM’s Dashboards in your Team's Channel tab.
- Share Contact or Deal cards with your colleagues directly within the Channel conversation.
Follow these steps to share contact or deal cards:
- On the Microsoft Teams home page, click Teams.
- Click General.
- Click the New Conversation button.
- Click Team Owners.
- Click on the Vtiger icon.
- Select the Type of card to share.
- Select the Card.
- Click the Send icon.
- Converse via the Vtiger bot to get Contact or Deal information from the Chat tab.
MS Teams BOT Reports

You can now pull up and display reports using the BOT in MS Teams conversations. You can search for specific reports and display related charts in desktop and mobile versions.

You can also send reports in group/team/channel conversations.
Adding Vtiger Dashboard to your Team Channel
Records sharing within a group
Have you created a group for your team members in MS Teams? Before sharing any records in the conversation, the user or the owner of the group must first Add Vtiger App to the team. Installing once is sufficient to enable team-level sharing of records and documents within the group.
Follow these steps to add a CRM dashboard in Microsoft Teams:
- Log in to your Microsoft Teams account.
- Click on Apps.
- Search for Vtiger CRM.
- Click Add to Team to add the Vtiger page as a Channel tab.
- Choose the page you want to add, like Tasks, Deals, etc., by clicking the + button.
- Click Save.
Chatting via Vtiger Bot
From the Chat tab in Microsoft Teams, you can send commands to Vtiger Bot to retrieve information from CRM.
Follow these steps to add Vtiger Bot:
- On the Microsoft Teams home page, click Chats.
- Click Vtiger Card.
- Click Chat.
The commands listed below are supported in Vtiger Bot:
- My Agenda - You will see upcoming daily meetings.
- Search Contacts
- Search Deals
- You can search for a deal only by its Deal name. If multiple matches are found, Vtiger will return the one created first—for example, Search Deal Grasspods.
Similarly, using the command Search, you can fetch a record from other modules like Cases, Tasks, etc.
Deactivating MS Teams in Vtiger CRM
To remove Microsoft Teams and Vtiger CRM integration, you need to do the following:
- Uninstall the Vtiger CRM app from Microsoft Teams
- Uninstall the MS Teams add-on from Vtiger CRM
Uninstalling Vtiger CRM App
Follow these steps to uninstall the Vtiger CRM app from Microsoft Teams:
- Log in to your Microsoft Teams account.
- Right-click on the Vtiger CRM app on the left panel.
- Click Uninstall.
Vtiger CRM app is now uninstalled from Microsoft Teams.
Uninstalling Microsoft Teams Add-on
Follow these steps to uninstall the Microsoft Teams add-on from Vtiger CRM:
- Log in to your CRM account.
- Click the User Menu on the top right corner of the screen.
- Click Settings.
- Go to the Extensions.
- Click Extensions Store.
- Search and open Microsoft Teams.
- Click More Details.
- Click Uninstall.
Microsoft Teams add-on is now uninstalled from Vtiger CRM.
Note: You can now sign into Office 365 from your mobile phone.
