Introduction

Quality Audit is the systematic monitoring process of an organization’s quality. An internal or external quality auditor or audit team typically carries out a quality audit.

Vtiger’s Quality Audit Feature

The Quality Audit feature in Vtiger helps you audit organizations and businesses. It helps you keep track of operations, identify potential risks, and take necessary precautions in advance. Using the Quality Audit feature, you can:

  • Create, customize, and publish questions anytime.
  • Easily upload embedded videos and images for sections.
  • Assign maximum score for questions.
  • Review answers for questions submitted by auditors.
  • Allot scores to answers for exercises or quizzes submitted by auditors.
  • Generate Forms for each template.

The Quality Audit feature is available for One Professional and One Enterprise editions under the Main Menu >Service Desk app.

Quality Audit Process - An Overview


Let us see how this process works.
The auditing process consists of the following steps:

  1. You create audit templates with details like name, frequency, etc.
  2. You set the time and frequency of generating the templates.
  3. You assign the templates to auditors (single auditors, organizations, and groups).
    1. You also have the option of creating internal tickets automatically from a form if the auditor finds an issue while auditing. 
  4. You then add sections, questions, and scores to these questions. 
  5. The system generates forms automatically based on the frequency you add.
  6. The Audit Forms appear in the Audit Forms List View as well as the mobile apps of the designated auditors. 
  7. Based on the audit scores, you generate insights.

The Quality Audit process consists of five major components - Audit templates, Questions, Audit Forms, Internal Tickets, the Mobile App, and Audit Insights. ​​​
 

Audit Templates
  • An Audit Template is a template you create in the CRM with all the details required in an Audit Form. You can generate Audit Forms from these templates. In Vtiger CRM, you can generate Audit Forms both automatically and manually. Manual generation of Audit Forms is currently available for the Field Sales module only. 
  • In an Audit Template, you can add details like the template name, starting date, and name of the template owner. You can also set the following: 
  • Frequency:  You generate Audit Forms automatically based on the frequency you set. You can auto-generate them daily, weekly, monthly, or yearly. Another useful frequency option is Manual. The Manual option lets you generate a form on the chosen data manually. Note: The manual option is currently available only for the Field Sales module.  
  • Recurrence: The Recurrence field lets you generate forms for the selected day, month, etc. For example, you can generate the audit form continuously for three days, if you select the Frequency as three.
  • Conditions: Lists that you have created in the Organization module will be listed here. You also select the fields from an Organization in the Conditions field. 
  • Auditor: You can select an auditor or group of auditors from the drop-down. When a group of auditors is selected, forms are assigned on a Round-robin basis. For example, If you have ten outlets and three auditors, the CRM will assign one outlet for each auditor, and begin with the first one again. 
  • Questions: You can add questions and scores based on what needs to be audited in an organization. For example, if auditing is done for a restaurant, you will have questions about kitchen cleanliness, food materials, linen, and safety. You can add questions in separate sections, and assign a checklist to each section. You can also highlight a section as critical to make it a high priority. The overall auditing score will be based on these scores in each section.
  • Audit Forms: Audit Forms are auto-generated from your templates. These forms are accessible by auditors from the mobile app to perform auditing.
  • Mobile App: Once the audit templates are created, they are available in the Vtiger CRM Mobile app. When the auditor logs in to the app, they can find the different statuses of the forms like In progress, Today, Pending, Completed, and Upcoming. They use the forms that are available only under Today’s category for auditing. Auditors can assign scores and add details, comments, images, and videos to the Audit form. ​
  • Audit Insights: Insights are charts or reports you generate for an auditor, the audit, audit scores, etc. These reports give you information about auditors’ activities, outlet activities, best-performing outlets, best practices that help succeed, etc.

The number of times you want an Audit From to be generated.

Round-robin  A method of assigning records or assigning tasks to users or employees in the CRM. In the round-robin method, records or tasks are assigned consecutively on a rotational-basis. 



 

 




 

 

Accessing the Quality Audit Module

The Quality Module is available under the main Menu > Service desk in the CRM.
Follow these steps to access the Quality Audit module:
  1. Log in to the CRM.
  2. Go to the main Menu.
  3. Go to the Service desk.
  4. Select Quality Audit.
You can access Audit Templates, Audit Forms, and Audit Insights from here.
 

Creating Audit Templates

You require Audit Templates to generate Audit Forms. Hence, you create them first in the Quality Audit process. You can specify the following in an Audit Template - Audit template Name, Assigned to, Start Dates, Frequency, Repeat, and Number of frequencies in the template. You also add the questions required for auditing and their scores. 

The Audit Form is generated based on the frequency you set in the template.

Creating an Audit Template requires the following:

  • Step 1: Adding Audit Template details
  • Step 2: Adding Questions


Step 1: Adding Audit Template details
Follow these steps to create an Audit Template: (All fields marked with an asterisk are mandatory).

  1. Log in to CRM.
  2. Go to the Main Menu.
  3. Go to the Service Desk.
  4. Click Audit Templates

  1. Click +Add Audit Template on the top right. The Audit Template form opens.

 

  1. Add the following information in the Basic Information window:

    1. Audit Name - Add the name of the Audit Template. 

    2. Assigned To - Add the instructor or administrator’s name. 

    3. Start Date - Select the date you want to start the template.

      1. You can click on the calendar icon to select the date. 

    4. Frequency - Select the frequency of the Audit Templates. You can select the Daily, Weekly, Monthly, Yearly, and Manual.

    5. Repeat- If you want users to repeat a course, select the repetition frequency. You can repeat the occurrence of a template once every 30 days.

    6. Number of Recurrences - You can choose the Number of recurrences based on your requirements.

    7. Until - Based on the start date and frequency, the date in this field will be fixed.

    8. Conditions -  

      1. Select any list of Load conditions.

      2. Conditions will be auto-picked.

      3. Give any conditions manually if you want to include a filter further.

    9. Select Auditor - You can select the auditor from the drop-down.

    10. Go To Questions

      1. Click Add Section

      2. Add Section Title.

      3. Choose Greater than or less than from the drop-down.  

      4. Enter the value in the box. Select the Critical check box. 

      5. Select the following Question type - Radio Button, Checkbox, Rating, Agree/Disagree from the left and drag and drop below the section title.

      6. Type the question in the Question field.

      7. Click +Add Option to add sub-options For example, If the Radio button is selected, you can add other options for No and Maybe.

      8. Click the icons beside the option fields to enable them.

      9. The icons - Comment, Image, and Video can be enabled:

      10. Select the value in the box available next to the icons.

      11. Select the Internal Ticket icon to raise Internal Tickets.

      12. Enter the Audit Total Score condition. (Optional)

      13. Click Save.

Note:

  • If the icon is enabled, action will be mandatory.
  • This is a Template. Forms are auto-generated and relevant to the audit that you're conducting.

Accessing Audit Forms

Follow these steps to access the Audit Forms: 

  1. Go to the Main Menu.
  2. Go to the Service desk.
  3. Go to Quality Audit.
  4. Select Audit Forms.

Note: Audit forms are auto-generated when the cron runs. You don’t have the option to add Audit Forms. The questions and answers added to the template will be available in the Forms.
 

 

Accessing Quality Insights

The purpose of audit insights is to identify and discuss common recurring issues, shortcomings, and good practice examples identified through our financial statement and performance audit work.

Follow these steps to access Quality Insights:

 
  1. Log in to the CRM.
  2. Go to the Main Menu.
  3. Go to the Service Desk.
  4. Go to Quality Audit.
  5. Select Audit Insights.
  6. Select the Group.
  7. Select Auditors from the drop-down.
  8. Select the Template from the drop-down.
  9. Select the date range from the drop-down.
