What are Deal Revenue Line Items

Get all the information about adding and managing revenue line items and how they can be used in the CRM.

Introduction

Products or services that generate revenue and are listed on separate lines in a deal are called revenue line items. Revenue line items enable a sales rep working on a deal to manage the quantity and discount on the item level.

For example, revenue line items at a company that sells audio equipment may include the following:

  • Products: Wireless Bluetooth Headphones, Portable Bluetooth Speaker, and Perceptible Home Theatre System 
  • Services: Home Theatre Installation, Repair, Replacement, and Renew Warranty

Benefits of deal revenue line items

  • Line items ensure the accuracy of the deal amount; the Amount field is automatically updated with the rolled-up price of all the products and services in the line items’ block.
  • Synchronization of line items between a quote and a deal avoids data mismatch during proposal management.
  • Synchronization of line items between a quote and a deal saves the sales representative’s time by eliminating the need for manual data entry.
  • Line items facilitate easy reporting on product-level pipeline and forecasting.

Adding Line Items to a Deal

 

 Note: Before you begin to add revenue line items to a deal, ensure that the Product/Service Line Items module is enabled. To enable Product/Service Line Items, go to Settings > Module Management > Modules.

Follow these steps to add line items while creating a deal.

  1.  Log in to the CRM.
  2. Click the Main Menu.
  3. Go to the Sales tab.
  4. Click Deals.
  5. Select and open the deal to which you want to add line items.
  6. Click the Line Items widget on the right side of the deal.
  7. Click the + icon. The Item Details window will open.
  8. Click the +Add row button.
  9. Select Products or Services. A list of products or services will be shown depending on your selection.
  10. Click the Product or Service icon in the item rows.
  11. Select products or services to add them as line items.
  12. Click Save. 

The products and services added by you are shown under the Line Items widget, along with their grand total. You can edit or delete line items from the widget. 

Other actions on line items

When you add line items to a deal, you can add discounts and select price books. Click the + icon in the Line Items widget, and you can do the following:

  1. Selecting a price book

    1. Add the line items of your choice.
    2. Click the Configure drop-down.
    3. Enter the price book name or click the price book icon to find a price book for the line items selected.
    4. Click the Price Book icon in the List price column to enter the selling price for a line item.
    5. Click Save.
  2. Adding item-level discount

    1. Add the line items of your choice.
    2. Click the Configure drop-down.
    3. Enable the Item level discount toggle button to be able to add a discount for each line item.
    4. Add the item-level discount for each line item in the Discount column.
    5. Click Save.
  3. Adding overall discount

    1. Add the line items of your choice.
    2. Select % or Direct under Overall Discount below the line items. (%: add discount percentage; Direct: enter the full discount amount) 
    3. Click Save.

Syncing a Quote with a Deal 

You must link a quote to a deal before syncing it with the deal. At a time, you can sync only one quote to a deal. To sync another, you will have to enable the Sync with Deal button for the chosen quote.
Follow these steps to link a quote to a deal:

  1. Click the Main Menu.
  2. Go to the Sales tab.
  3. Click Quotes.
  4. Select and open the quote that you want to link to a deal.
  5. Click the Deep Dive button.
  6. Enter the name of the deal that you want to link under the Deal Name field.
  7. Click Save.

To sync a quote with a deal, you must enable Sync with Deal in the quote.

Follow these steps to sync a quote with a deal:

  1. Click the Main Menu.
  2. Go to the Sales tab.
  3. Click Quotes.
  4. Select and open the quote that you want to sync with a deal.
  5. Click the Deep Dive button.
  6. Enable the Sync with a Deal toggle button in the Item Details block.
  7. Click Save.
The line items of the synced quote and the quote name are shown under the Line Items widget in the linked deal.
 

Note: Whenever changes are made to the quote, they are reflected in the Line Items widget in the deal. 

Editing line items after a quote is synced

Case 1: Through the synced quote

For example, add a line item ‘GP211 Round Bluetooth Speaker’ to the quote. This change is synced with the deal, and the deal amount is updated. 

Case 2: Through the deal record

Changes made to Line Items in a deal are not synced back to the quote. However, after you make changes to deal line items, you are prompted to choose whether you want to continue syncing the quote to the deal. If you click ‘Yes’, the changes made to the deal line items will be discarded when the quote is updated. If you click ‘No’, synchronization between the quote and deal will be disabled.

Note: It is not recommended to make changes to line items in a deal directly. Updates made to line items in a quote always override deal revenue line items if quote syncing is enabled.

Impact of quote syncing on the deal amount 

The Amount field in a deal is locked after the line items are added. You can see a Lock icon beside the Amount field. Also, you cannot edit the amount unless all line items are removed. 

Points to remember of the deal amount: 

  • It is the sum of the prices of all the deal revenue line items.
  • It is not inclusive of taxes.
  • It cannot be edited by Workflows or Mass Edit as long as there are line items in the deal record. 

Limitations 

There are certain limitations to managing revenue line items.

  • Line items cannot be used in Workflows’ conditions and actions, and Approval conditions and actions.
  • Line items cannot be added through Mailroom’s Create Deal action.
  • Line item prices get updated when the conversion rate of the deal record currency is updated. 
  • The currency of the line items depends on the deal record currency. When the record currency is changed, the prices of the line items change.
