Introduction

Are you worried about losing your data while converting a lead to a contact, organization, or a deal?

Please don’t. We got you! :)

 

Vtiger CRM helps you map custom fields in the Leads module to Contacts, Organizations, and Deals modules. So when you convert a lead to contact, organization, or a deal,

  • the CRM considers the field mapping, and 
  • transfers field values in the Lead record to the selected target fields in the Contact, Organization, or the Deal record. 

Benefits of mapping

  • Your data is not lost.
  • You can avoid manual entry of field values.
 

Visibility of Lead Conversion Data Mapping Settings

Here is a twist. The Lead Conversion Data Mapping Settings will not be visible by default. This is because the Leads module is not enabled in your CRM account.
Since the Leads module is disabled by default; you must enable it manually.

Follow these steps to enable the Leads module:

  1. Log in to your account.
  2. Click the User Menu icon.
  3. Click the Settings button.
  4. Look for the Module Management section.
  5. Select Modules.
  6. Search for Leads module.
  7. Enable the checkbox. A message ‘Module enabled successfully’ will appear.
  8. Go back to the Settings Homepage.
  9. Refresh the page.

You will now see the Lead Conversion Data Mapping settings under the Marketing & Sales section.


Default Mapping

To take some burden off your shoulders, CRM maps the following fields in the Leads module automatically to the fields in the Contacts, Organizations, or Deals modules by default.

Note: You cannot modify or delete the field mapping that is added by default in the CRM.


Custom Mapping

You are now aware that a set of fields are mapped by default in the CRM. If you wish to map other fields of your choice, continue reading this section.

Follow these steps to do a custom mapping:

  1. Log in to your account.
  2. Click the User Menu on the top right corner of the screen.
  3. Click the Settings button.
  4. Go to the Marketing & Sales section.
  5. Click Lead Conversion Data Mapping.
  6. Click the Edit icon on the right.
  7. Click the +Add Mapping button. Consequently, you will be adding a ​new set of fields (placeholders) to aid with the mapping of custom fields.
  8. Select the source field and map it to the target field(s) accordingly.
  9. Click Save.
    • Click Cancel if you want to discard the changes.
  10. Type PROCEED and click the Proceed button.

The fields will be mapped and added to the list of other fields.

 

Note

  • You can delete a mapping by clicking the Delete icon under the Actions column.
  • For every source field in Leads, you must map a target field with Contacts, Organizations, or Deals. If not, the mapping will not be saved.
  • You cannot map auto-generated fields like Created Time, Modified Time, etc.


Modifying the Mapping

Vtiger CRM provides you the flexibility to modify a mapping that you have defined. 

Follow these steps modify a mapping:

  1. Log in to your account.
  2. Click the User Menu on the top right corner of the screen.
  3. Click the Settings button.
  4. Go to the Marketing & Sales section.
  5. Click Lead Conversion Data Mapping.
  6. Click the Edit icon.
  7. Change the source and the target field accordingly.
  8. Click Save.
    • Click Cancel if you want to discard the changes.
  9. Type PROCEED and click the Proceed button.

The changes will be saved to the mapping.
