My Sales Dashboard 

Introduction

Vtiger’s Sales Dashboard provides different views for sales reps and sales managers. With the Dashboard, you can:

  • Track individual and team productivity easily.
  • View different sales metrics like top open deals, closed deals, and activity count.
  • Customize your dashboard to show the required data.

Vtiger CRM provides two default dashboards:

  • My Sales Dashboard
  • Sales Leaderboard

My Sales Dashboard

My Sales Dashboard displays data related to your deals and activities. It has 12 widgets by default. Hovering over the Tooltip icon on a widget displays a brief description of the widget. You have the option to either keep the dashboard as your default screen or remove it by disabling the Set as Default feature.
Note: Data displayed in the widgets is based on the filters you have applied in Filters. Skip to this section to learn more about the filter.
 
Widget Name  Description
Deal win rate Percentage of open deals that were won (marked as ‘Closed Won’) by you, along with the name of the sales rep with the highest percentage
Follow-ups per Lead Average number of follow-ups done by you on contacts in the Sales Qualified stage, along with the name of the sales rep with the highest number of follow-ups
Lead First follow-up time Average number of hours you took to send the first response to a contact in the Sales Qualified stage, along with the name of the sales rep with the best first response time
Average sales cycle The average time taken to close all the deals in the selected period
Leads funnel Number of contacts assigned to you with the contact type in the leads funnel 
Deals created Number of deals created in the selected period
Weighted revenue of deals Sum of weighted revenues of all your deals open in the selected period
Product sales Top deals along with products sold during the selected period
Sales funnel Number of deals in each sales stage of the selected pipeline, in the selected period
Closed sales Number of deals closed in the selected period
Average sale value Average deal amount for deals closed in the selected period
Activity daily count for this month Count of activities performed by the sales team on a daily basis in the selected period 

Sales Leaderboard

Sales Leaderboard has five default widgets. Refer to the following table to learn about the default widgets.
 
Widget Name Description
Sales leaderboard Top 10 performers sorted by the number of deals they closed during the selected period
Top product sales Top 10 products sold during the selected period
Top Lost Deals Top 10 deals lost during the selected period
Top deals of the month Top 10 deals closed in the selected period, sorted by deal amount
Top reps by activities completed Names of the top 10 sales reps, sorted by the number of activities (events and tasks) they completed in the selected period
Win-Loss Ratio Percentage of deals won and deals lost over the selected period
Top reps by win percentage Name of the sales rep with the highest win percentage
Lead conversion by Source Conversion percentage of leads created during the specified period for each lead source
Lead conversion by Owner Conversion percentage of leads assigned during the specified period to different owners

Note: The charts Lead conversion by Source and Lead conversion by Owner may not be visible if the Leads module is disabled. Go to Settings > Module Management > Modules to enable Leads.

Benefits

The benefits of using Vtigers Dashboards are:

  • Dashboards for sales reps
    • As a Sales Rep, you can get real-time status of your pipeline and a comparison of your work as opposed to your counterparts’ or your progress in contrast with your goals – all with My Sales Dashboard! You can also see My Dashboard and add widgets to it, which gives easy access to records relevant to you.
  • Dashboards for sales managers
    • As a sales manager, you can view Sales Leaderboard, My Sales Dashboard, and My Dashboard. The Sales Leaderboard displays key metrics related to your team. You can track team performance using leaderboard widgets. You can monitor your team’s progress, identify top performers, and get other insights into your team. To summarize, the sales dashboard helps you zoom in on areas that require your attention and act on them.
    • Note: You can see the Sales Leaderboard and My Sales Dashboard when you have subordinate users reporting to you.

Navigating to the Dashboard

Follow these steps to go to the Dashboard page:

  1. Log in to the CRM.
  2. Click the Main Menu.
  3. Go to Essentials.
  4. Click Dashboard. 

Creating a Dashboard

Apart from the default dashboard that you see when you log in to your Vtiger account, you can create other dashboards to see data customized to your needs.
Follow these steps to create a dashboard:

  1. Log in to the CRM. 
  2. Click the main Menu.
  3. Go to Sales.
  4. Go to Analytics.
  5. Click Sales Dashboard. The Dashboard page opens,
  6. Click the Sales Leaderboard drop-down on the left.
  7. Click the + button. The Create New Dashboard window opens.
  8. Enter or select the following information:
    1. Dashboard Name: Enter a name for the Dashboard.
    2. Share with: Select the name(s) of the users with whom you want to share the dashboard.
  9. Click Next.
  10. Choose the type of widget you want to add to your dashboard from the following - 
    1. Standard Widgets: Select the widgets you want to add to the Dashboard. 
    2. Mini List: 
      1. Module: Select the module
      2. Select List: Select an existing list from Mine option or a Shared list option.
      3. Select Field: Select the field that you want to add to the list.
        1. Note: The fields displayed on the screen depend on the module you select.
    3. Pin Report: Select the report (from the existing list) to add to the Dashboard.
    4. Notes.
  After you add widgets, you can see them on your dashboard. You can customize your dashboard further by rearranging or resizing the widgets.

Adding widgets to a dashboard

You can add four types of widgets to your dashboard – Standard Widgets, Mini List, Pin Chart, and Notepad. Read further to learn how.

Adding a standard widget

Standard widgets are pre-built widgets that pull and display data automatically for you. For example, the History widget gives you a summary of your actions – when you create, update, or delete something on Vtiger. 
Note: You can add new widgets on the go by using the +Add widget button.
Follow these steps to add a Standard Widget:

  1. Log in to the CRM. 
  2. Click +Add Widget.
  3. Click Standard Widgets. 
  4. Select the widgets you want to display on the dashboard by clicking on them.
  5. Click Add Widgets.

Add a mini list

You can create a mini list using records from any module in Vtiger CRM. For instance, as a sales rep, you can create a list of all the deals that you are working on or a list of all the events that you are a part of.
Follow these steps to add a Mini List to your dashboard:

  1. Log in to the CRM. 
  2. Click +Add Widget.
  3. Click Mini List. 
  4. Select the following information to create the list:
    1. Select a module.
    2. Select a list.
    3. Select the fields you want to add (maximum six).
  5. Click Add.

 Adding a custom chart

You can add a chart that you have created in the Reports module to your dashboard. 
Follow these steps to add a chart to the dashboard:

  1. Log in to your CRM account.
  2. Click +Add Widget.
  3. Click Pin Chart.
  4. Select a folder.
  5. Select a report.
  6. Click Add.

You can also pin charts to your dashboard from Reports. To learn more about reports in Vtiger CRM, click here.
Note: The Info icon within the date filter displays this message - This date filter is applicable only for the standard default widgets.

Adding a notepad

Make quick notes for yourself with Vtiger’s Notepad widget. Notebook content can have plain text and clickable URLs. 
Follow these steps to add a notepad:

  1. Log in to the CRM.
  2. Click +Add Widget.
  3. Click Notes. 
  4. Enter the Title and Notepad Content.
  5. Click Add.
After creating a notepad, you can edit its content by clicking the Edit icon.
 

Adding a Pivot Report Widget

You can create custom Pivot reports with charts and key metrics and pin them directly to the Dashboard.
Use Case: This helps you track your team’s performance at a glance through pinned reports.
The Pivot Report widget on the Dashboard gives you these options:

  • Scroll horizontally and vertically to view all records.
  • Expand or collapse rows and columns to adjust the data view.
  • Open a pop-up window to preview or modify the report content.

You can pin reports to the Dashboard in two ways:

  • If the report has only a Pivot report, you can pin the full report.
  • If the report has a Chart + Pivot combination, you can pin only the chart.

Actions Possible on a Dashboard Widget

Here are the actions you can perform on a widget:

Click to resize the widget by specifying the number of rows and columns

Note: 
  • The Save as Image option is available only for widgets that display graphical data.
  • The Edit option is only available for the Notepad widget.

Actions Possible on a Dashboard

You can perform the following actions on a default dashboard by clicking the More icon displayed beside the dashboard drop-down:

  • Duplicate - Using this option, you can create a separate dashboard with the same dashboard content and share it with other users. You must change the dashboard name to duplicate it.
  • Save as Image -With this, you can save or download a dashboard to your local computer as an image in png format.
  • Print Dashboard - This option allows you to print the entire dashboard.
  • Project to Display - Using this option, you can display a dashboard in full screen on your computer.
  • Set as Default - Set a dashboard as default by using this option. The default dashboard is displayed whenever you go to the Dashboard page.
 

What can you do with a custom dashboard

In addition to the actions mentioned above, you can perform the following actions on a custom dashboard:

  • Edit - Use this option to change the dashboard name or edit access permissions of a custom dashboard.
  • Share - This option allows you to share a custom dashboard with other users. The name of the CRM user who shared it with you will appear in the Shared by user name field of a shared dashboard.  
  • Delete - Using this option, you can delete a custom dashboard.

 

Note: You cannot edit, share, or delete a default dashboard.

Dashboard Filters

  • Filtering data by pipeline: Select the drop-down beside the date range shown on the top of the dashboard. You can choose the data 
 
  • Filter data by time: You can filter dashboard data by clicking the date range displayed on the top. For instance, the dashboard widgets will display deal-related data only for the previous month if you select ‘Last Month’ in the filter.

Dashboard Widget Filters

  • Filtering data by Groups: Groups are added in the Users list. When they select a group in the widgets filter, the data of only reporting users present as group member will be considered.

Using Date Filters in Dashboards

You can use different date filters in your dashboards to quickly view data for specific time periods. The available filters include:

  • Previous Financial Year (Previous FY)
  • Next Financial Year (Next FY)
  • Previous Week
  • Current Week
  • Next Week
  • Current Financial Year (Current FY)

These filters are available in the List View and can be used across dashboards like Sales Insights, Chat Insights, and others.

Let us look at an example to see how your sales team performed last year. 

Follow these steps to check your sales team’s performance for the last year:

  1. Log in to the CRM.
  2. Go to Main Menu > Essentials > Dashboard.
  3. Select Sales Insights from the Select Dashboard dropdown.
  4. Click the Date Filter dropdown.
  5. Select Previous FY. The dashboard will update to show last year's sales data.

This makes it easier to track progress and compare performance over time.
