Track Deal age and Case age

Introduction

When an Deal progresses from one sales stage to another, the Deal age in each stage is tracked by Vtiger. You can use this data to analyze the time spent on Opportunities in various stages.
This is added as an insight field in Opportunities module as Time Spent (hours) and Time Spent (Days). Similar insight field is available in Cases to track how much time was spent in each status of a Case from New status until Closed.

Add Time Spent in Deal Sales stage to Lists

Follow few simple steps to create a Sales Stage list view

  1. Click on the + New List button present on the left sidebar.
  2. You will be navigated to Create a New List page.
  3. Provide a List Name (Sales Stages)
  4. Select desired columns from Time Spent in Sales Stage you would like to see in a Sales Stage view.
  5. Click Save

Add or Remove columns from List view

  1. Click on  icon on the list header
  2. In the pop-up, click to add in the right column, drag & drop the columns in the left column

Deal Progression bar

Deal record view is enhanced to provide a visual sales stage progression bar with time spent on each stage.

  • Change the Deal Sales Stage with just a single click.
  • On hover a user can get to know the time spent on each sales stage.
  • Users can also get to know the picklist stages based on the color.

Configure Case Status List View

Follow few simple steps to create a Case Status list view

  1. In the cases module, click on the + New List button present on the left sidebar.
  2. You will be navigated to Create a New List page.
  3. Provide a List Name (Case Status)
  4. Select desired columns from Time Spent in Status you would like to see in a Case Status view.
  5. Click Save

Configure Workflow

Automated Actions based on time spent by a Deal or Case in a particular state.

For example, Send an email to the Deal owner if the Deal in Sales Stage Prospecting is greater than 4 days.

  1. Click Menu
  2. Select Workflows
  3. Click Add Workflow in the right top
  4. Enter Workflow Name
  5. Select Target Module Opportunities
  6. Add Workflow Condition Time Spent in Sales Stage (Hours) Prospecting greater than 2
  7. Select Add Action
  8. Select Send Mail (Refer Workflow > Send Mail)
  9. Add details

  10. Click Save to save Action

  11. Click Save to save Workflow

Configure Reports to view Sales Stage Last changed at

You can view the reports when Sales Stage Last changed.

  1. Select Reports on top right
  2. Click Add Report
  3. Add Report Name
  4. Select Report Folder
  5. Select Primary Module Opportunities
  6. Select Columns
  7. Select Stage last changed at
  8. Add List Condition (Opportunities) Stage last changed at more than Hours later 2
  9. Click Save & Generate Report
