Introduction

The Targets Add-on is designed to help you set achievable goals for your employees within a specific time frame. It enables you to set targets on multiple records or aggregate any numerical field in any module. 

Only those in Admin roles can set targets using the Target Set Qty and Target for Value fields in the Targets module for their subordinates. They can set or revise quotas for users who report to them but can only edit the Target record if they create it. Admins can view target records created by any user in the CRM.
Note:

  • The target quantity and the target value are fetched from the custom fields of the Organisation module.  
  • The Sales App will receive the target quantity and values from the Organization module and show them to the organization's Assigned user.

The Targets module is available in the Extension Store as an Add-on. You need to install the Add-on to use it. 

Setting Targets

You can set targets or quotas for individuals or teams in the Targets module. Managers assign targets to individual team members, which can be set monthly or quarterly. Admins and users who have access can set targets for their subordinates. You can set Targets or Quotas for individual members or a team and set monthly or quarterly targets.

The Set or Revise Team’s Quota icon allows you to set or revise targets. This icon is available only for managers. 

There are three target values in the Targets module:

  • Quota - You can set the target you or your team want to achieve in a month or a quarter. Here, you can assign individual targets and view or modify them.
  • Achieved - This value gives information if the set target is achieved. 
  • Gap - This value gives details if there is any gap between the set and achieved targets. 

Once the target is set, the results are displayed in the List View of the Targets module. The results are divided into three columns: Quota, Achieved, and Gap. Quota gives the value of the set target. 

Achieved gives you the value of the achieved targets against the set target. Gap gives you the value of the difference between the set and achieved targets.

You cannot generate reports based on the Targets.

​​Targets List View

The Targets module List View displays details of all the Targets you set for individuals and teams. You can find data on the targets set, targets achieved, and the gap between the set and achieved targets. You can also find every month’s progress if monthly targets are set. 

Filters in the List View 

You can apply filters to view the Targets in the Targets module List View. For example, you can view data for monthly and quarterly targets. You can also choose the period between which you want to view the Targets.

Different Types of Targets

Here is a sample of the different types of Targets you can set in the CRM.

Sales Targets

Sales Targets are specific goals or quotas set for sales teams or individual salespeople to achieve within a certain time frame. 

Each salesperson or team will have their own set of targets to achieve. Sales targets can be set for specific periods, such as months, quarters, or years. This enables the tracking and evaluation of performance within specific time intervals.

Managers can analyze the data and adjust strategies, tactics, or resource allocation if sales targets are unmet. Consistently exceeding targets might indicate areas of growth potential.

Example: Here is an example of how sales targets could be used in retail:

Imagine managing a retail store selling electronic gadgets. Your company wants to set sales targets for the upcoming quarter (three-month period) to drive revenue and monitor performance.

Sales Target - Achieve $500,000 in revenue for the quarter.

The primary objective is the overall revenue target of $500,000. This target aligns with the company's financial goals for the quarter. 

Individual product targets ensure that the sales team focuses on selling each product line to meet specific revenue contributions. Product A has a higher unit sales goal, while Product B has a higher average selling price, contributing to overall revenue diversification. 

The target for cross-selling encourages salespeople to promote accessories, contributing to additional revenue per customer transaction. The goal of acquiring new customers expands the customer base and potential for future sales growth.

This example demonstrates how sales targets can be specific, measurable, achievable, relevant, and time-bound objectives that guide sales efforts and contribute to achieving overall business goals.

Customer Service Targets

Customer service targets are goals set by companies to define the level of service quality they aim to achieve. These targets serve as benchmarks to measure the effectiveness, efficiency, and overall success of the customer service department or team.

Here is an example of customer service targets that a company might set to ensure high-quality customer support.

Example: Customer Service Targets for a Telecommunications Company

You are the customer service manager for a telecommunications company that provides mobile and internet services. Your company wants to set customer service targets to improve customer satisfaction.

Engineering Team Targets

Engineering team targets are specific goals a team has to achieve in specific projects. 

Goals are set to track progress and align with organizational objectives. Engineering team targets can cover various areas and aspects related to technical performance, project management, collaboration, innovation, and more.

Examples of Engineering Team Targets:

  • Project Deadlines: Ensuring that projects are completed within the defined timeframes and milestones, meeting or exceeding deadlines.
  • Code Quality: To ensure high-quality code, we adhere to coding standards, use best practices, and have regular code reviews.
  • Bug Resolution Time: Addressing and resolving software bugs within specific timeframes to ensure minimal user disruption.
  • Feature Development: Successfully delivering several new features or improvements within a designated period.
  • Innovation: Allocating time for experimentation, research, and innovative initiatives to drive technological advancement.
  • Technical Debt Reduction: Dedicating resources to reduce technical debt and gradually enhance software's maintainability

Installing the Targets Add-on

Follow these steps to install the Targets Add-on:

  1. Log in to the CRM.
  1. Go to Add-ons. The Add-on page opens.
  2. Type Targets in the Search bar. The Targets Add-on will appear.
  3. Click Install.
Once installed, you will find the Targets Add-on under the main Menu > Essentials > Others > Targets

Adding a Target

When you log in to the Targets module, you land on the Targets List View. It displays three values - Quota, Achieved, and Gap.

Follow these steps to add a Target:

  1. Log in to the CRM.
  2. Go to Essentials.
  3. Go to Others > Targets.
  4. Click the drop-down menu in the left corner of the List View screen.
  5. Select the + sign to add a new Target under the Targets menu. The Add Target window opens.
  6. Enter or select the following information: 
    1. Name: Enter the name of the Target.
    2. Module: Select the module from the drop-down.
    3. Set Target For: Select the user for whom you should set the target. You can set targets for the following options: User, Organization, or Partner Organization.
    4. Assigned To: Select the name of the employee you assign the target to.
    5. Date Field: Select the date field from the available options. It can have multiple options, such as Created Time, Modified Time, Opted-out Time, etc.
    6. Value: The data in this field changes depending on the module you select. For example, if you select the Contacts module, the Value field will display Record Count. If you choose Deals, the Value field will display options like Record Count, Amount, Weighted Revenue, Scheduled Forecast Total, etc.
    7. Target From: Select the month and the year.
    8. Period: Select the target period as Monthly or Quarterly.
    9. Number of Periods: Select the number of periods for the target.
    10. Group By: Select the Group By option. You can group your targets based on the selected module. The options displayed also change accordingly. For example, if you select Deals, you can group your targets by Sales Stage, Pipeline, Lost Reason, etc
    11. Choose Target Conditions: Select the following conditions for adding the target. The conditions listed will also change according to the module selected.
      1. Select All Conditions (All Conditions must be met).
      2. Select Any Conditions (At least one of the conditions must be met).
    12. Sharing: Select the user(s) you want to share the targets with. 
  7. Click Save.
Note: The screen will be blank if you add targets for the first time. Once you have created or set targets, the List View of the Targets module will appear.

Actions on a Target Record 

You can perform various actions on a Target record. 
When you click on the More icon(three dots) of a Target record, you will find the following actions: 

  • Edit - This allows you to edit a Target record. 
  • Duplicate - This allows you to Duplicate a Target record.
  • Delete - This allows you to delete a Target record.
  • Set as Default - When you enable Set as Default, your Target record will be displayed in the List View of Targets add-on by default.

Note: Only the Set as Default option is available for the Shared Target Lists.

The following icons are available on the top right corner of the screen:

  • Export - When you click on the Export icon beside the edit icon, the details of the Target will be exported to an Excel sheet.
  • Edit - You can also click the edit icon beside Filters on the right side of the screen to edit a Target record.
  • Filters - The filter icon allows you to view Target records monthly, quarterly, or within a specific period.

Viewing Target Records

You can track and organize your Target records in Vtiger CRM. Below are the steps to view the Target record categories:
  1. Log in to the CRM.
  2. Go to Essentials.
  3. Go to Others > Targets.
  4. Click the drop-down menu in the left corner of the List View screen to view the available Target categories by default. 
    1. My Targets: This section displays the list of target records you created. 
      1. The Users icon will appear if you have shared the target record with other users. By clicking the icon, you can view who you have shared it with.
    2. Shared Targets: These are the Target records created by other users and shared with you. 
      1. Click on the User icon to view the owner of the Target record who created and shared it with you.
Note: Admins can see all the target records created by any user within shared targets, even if those records aren't shared with them. They can view these records and see who owns them by clicking the user icon, but they can't edit them.

Editing a Target record

Note: You cannot change the module while editing a target record. Other fields can be modified. Only the owner of the record can edit a record.

Follow these steps to edit a Target record:

  1. Log in to the CRM.
  2. Go to Essentials.
  3. Go to Others > Targets.
  4. Select a Target by clicking the down arrow below the target menu on the left side.
  5. Click More on the target record.
  6. Select Edit. The Editing (Name) Targets page opens
  7. Make the required changes. The mandatory fields marked with an asterisk (*) next to their names must be filled out.  
  8. Click Save.

Note: You can also click the edit icon beside Filters on the right side of the screen to edit a Target record.

Duplicating a Target record

Follow these steps to Duplicate a Target record:

  1. Log in to the CRM.
  2. Go to Essentials.
  3. Go to Others > Targets
  4. Click the More (three buttons) on the target record.
  5. Select Duplicate. The Target duplicating page opens. Make the changes.
  6. Edit the name of the record. 
  7. Click Save.
A duplicate record with the updated name will appear under the Target record.
Note: A duplicate record can be created with a different name.

Deleting a Target Record

Follow these steps to delete a Target record:
  1. Log in to the CRM.
  2. Go to Essentials.
  3. Go to Others > Targets.
  4. Click the More(three buttons) on the target record.
  5. Select Delete Target. A window with the following confirmation message - Are you sure you want to delete? opens.
  6. Click Ok. A success message is displayed if the target was deleted.

Set a Target record as Default View

Follow these steps to set a Target record as your default view:
  1. Log in to the CRM.
  2. Go to Essentials.
  3. Go to Others > Targets.
  4. Click the drop-down present on the left corner of the List View screen.
  5. Click More on the target record.
  6. Enable the Set as Default checkbox to make a record in My Targets as your default view.
Note: Only the Set as Default option is available under the More option in shared targets. Enable the checkbox to make the Shared target record as your default view.

Setting Targets at the Organizational &  Partner Organization Levels

You can set targets for the following options - User, Organization, or Partner Organization. 
For example, if each store can have multiple sales reps on different floors, they may change. Therefore, targets are set at the store level (i.e, Organization).
For Organization, all modules related to organizations are displayed in the measured entity, showcasing 1:N relationships. Measured entities for an organization can include Invoices, Tasks, etc. You can also include organization filters. 

For Partner Organization, all the modules related to Partner Organization are displayed in the Measured Entity. You do not have a User hierarchy if the target set is for an Organization or Partner Organization.
You can also edit and change target values when they are in the running duration.

Revising Targets

While you can set Targets or Quotas for individual members or a team, you can also revise them using the Set or Revise Team’s Quota icon.
 Note: This icon is available only for admin users or those in a managerial role. 

Follow these steps to revise your team’s quota:

  1. Log in to the CRM.
  2. Go to Essentials.
  3. Go to Others > Targets.
  4. Click Set or Revise Team’s Quota.
  5. Add the values in the Set Quota field.
  6. Click Save.

Exporting a Target Record

Follow these steps to Export a Target record:​​​​

  1. Log in to the CRM.
  2. Go to Essentials.
  3. Go to Others > Targets.
  4. Click the Export icon on the right side. The information will be exported to an Excel sheet.
  5. Click Downloads
  6. Select the Excel sheet. The Excel sheet with all the details opens.

Adding Filters

Filters in Targets allow you to view targets monthly, quarterly, or within a specific time period.
Follow these steps to add Filters:
  1. Log in to the CRM.
  2. Go to Essentials.
  3. Go to Others > Targets.
  4. Click Filters. The Filter window opens.
  5. Click View by drop-down. Select Monthly, Quarterly, or Quarterly & Monthly.
  6. Select the required Time Period from which you want to see the target records.
  7. Click Apply.
