Kanban View in Deals

Introduction

A deal is a sales opportunity that you pursue with a person or a business. In Kanban View, deals can be viewed as a visual storyboard. Kanban’s visual approach helps you act on a blocker quickly, view and plan the remaining work, optimize the process, and improve productivity. 


Accessing Kanban View

Follow these steps to go to the Kanban View in Deals:

  1. Log in to your CRM account.
  2. Click the Main Menu.
  3. Go to Sales.
  4. Select Deals.

You will land on the Kanban View, which is the default view in deals. All the deals here are sorted and listed based on sales stages.

You can use filters or lists to customize your Kanban View according to your interests.

There are three things you must know about the Deals’ Kanban View:

  1. Sales Pipelines
  2. Sales Stages
  3. Deal Cards

Let us learn about them one-by-one.




 

Sales Pipelines

A sales pipeline consists of different sales stages that a deal moves along till its closure. You must be an Admin user to create a sales pipeline in Vtiger CRM.

After you create a sales pipeline, you can assign it to deals and track their lifecycle. 

You can assign a sales pipeline while:

  • Creating a deal
  • Editing a deal

You must also select a sales stage while assigning the pipeline.

Changing a Deal Pipeline

You might need to change a deal’s pipeline if your sales process changes. This can be done with a simple drag-and-drop action.
Follow these steps to change a deal’s pipeline from the Kanban View:

  1. Log in to your CRM account.
  2. Click the Main Menu.
  3. Go to Sales.
  4. Click Deals. You will land on the Kanban View.
  5. Hold and drag a deal. You will see the Change Pipeline option at the bottom of the page. Drop the deal on the option.
  6. Select the new pipeline from the Pipeline drop-down.
  7. Select the new sales stage from the Sales Stage picklist.
  8. Specify the Probability (optional).
  9. Click Apply.

The deal adopts the new pipeline and sales stage.

 

Note: You can use the Pipeline filter to view deals based on the pipelines. For example, an All pipeline filter will display deals linked to all pipelines configured in the CRM. 


Sales Stages

By default, each column in your Kanban View represents a sales stage. Each sales stage will displays deals in the form of deal cards. 

Adjacent to each sales stage, you will see the number of deals in the stage and the total deal amount. When you change the deal stage, these numbers are recalculated. 


Changing a Deal Sales Stage 

In the Kanban View, you can move a deal from one sales stage to another with a drag-and-drop action.

Follow these steps to change a deal’s sales stage from the Kanban View:

  1. Log in to your CRM account.
  2. Click the Main Menu.
  3. Go to Sales.
  4. Click Deals. You will land on the Kanban View.
  5. Hold and drag a deal towards a sales stage. 
  6. Drop the deal on the stage that you wish.

The deal will now be updated with the new sales stage.


Closing a Deal

You can also close a deal using the drag-and-drop action.
Follow these steps to close a deal from the Kanban View:

  1. Log in to your CRM account.
  2. Click the Main Menu.
  3. Go to Sales.
  4. Click Deals. You will land on the Kanban View.
  5. Hold and drag a deal. You will see the Closed Won and Closed Lost options at the bottom of the page. Drop the deal on the option you wish.

The deal record will be updated. 

Closed Won deals are marked in green, and Closed Lost deals are marked in red in the Kanban View. 

 

Note:

  • Users who do not have access to the sales stage field cannot see the Kanban View icon.
  • Users who do not have access to one or more sales stages because of role restrictions cannot view or assign the sales stages.
  • Users who do not have edit access to the sales stage field as per profile cannot drag and drop deals across stages.


Deal Cards 

Kanban View displays information as separate blocks of data called Kanban cards. Kanban cards are also referred to as Deal cards.

Deal cards are placed at the sales stage based on the deal status. Deal cards display the following information:

  1. Deal Name
  2. Organization Name
  3. Deal Amount
  4. Converted amount
  5. Assigned to user

Note: A field can be marked as a header field by the Admin in Settings > Module Layouts & Fields. It will show on the deal card in the Kanban view.

 

Actions possible on a deal card

You can perform the following actions on a deal card:

  1. Edit the deal
  2. Delete the deal
  3. Call the contact or organization
  4. Email the contact or organization
  5. Send SMS to the contact or organization
  6. Send a WhatsApp message to the contact or organization

Deal Card Icon

  • You can add an event or task to the Kanban View of a deal. 
  • The icon in the Deal Card displays pending events and tasks on a deal and lets you add new events. 
    • Clicking the icon should show a popup with the first three Events and, if possible, the first three Tasks linked to the deal and an option to Schedule a new Event/Task.
    • The icon is displayed in different colors based on the following:​​​​​​
      • If the event/task is for Today, the icon is green.
      • If the event/task is for the future and not closed, the icon is gray.
      • If the event/task is in the past and not closed, the icon is red. 
      • If there are no pending events/tasks on a Deal, the count is shown as Zero and in yellow.

Customizing the Kanban View

You can customize and change your Kanban View using the following features:

  • Lists 

Using lists, you can sort and store records shown in the Kanban View for future reference. You can create different lists for multiple purposes.

You can add new lists based on list conditions. These conditions are used to filter the data shown in the Kanban view. For example, if the list condition is - Show only deals that are not Closed Won or Closed Lost. In this case, any deal that is Closed Won or Closed Lost will not appear in any stage.

  • Search 

The Search in the Kanban View is used to look for records. It is one-of-a-kind because it filters, searches, and delivers results brilliantly.

The search bar helps you search for a record as well as filter the rest of the records using field names that you specify. This feature comes in very handy if you have a large number of deals in the CRM.

  • Pipelines filter

Using this filter, you can sort the Kanban View based on the pipelines you have configured. This helps you focus on the deals and their lifecycle in a better way. For instance, if you apply the filter for the Standard pipeline, you can see all the deals associated with the pipeline and sorted by the sales stages in the pipeline.

  • View icons

The View icons help you switch between the List View and the Kanban View. You can find the icons beside the +New Deal button.

  • View by & Sort by drop-downs

This drop-down will allow you to sort the Kanban View based on the fields in a deal. 

 

Note: You can also hide empty columns in the Kanban View by clicking the More icon and enabling the Hide Empty Columns toggle button.
