Introduction 

Kanban View is a visual way of viewing CRM records as cards arranged in columns based on stages or statuses. Unlike List View, which displays records in rows, Kanban View presents data in an easy-to-understand visual format that helps you track progress, identify bottlenecks, and take quick action.

Kanban View is a generic feature in Vtiger CRM and is not restricted to a specific module. It is available across multiple supported modules where records move through defined stages or statuses, enabling users to manage workflows efficiently using a drag-and-drop interface.

The benefits of using the Kanban View are:

  • Visual clarity: Displays records as cards grouped into stages for quick understanding.
  • Easy progress tracking: Identify which records are moving forward and which are stalled.
  • Quick updates: Change stages instantly using drag and drop.
  • Improved productivity: Perform key actions directly from Kanban cards.
  • Better prioritization: Focus on high-value or time-sensitive records.
  • Customizable experience: Configure card fields, grouping, and sorting based on business needs.

Accessing the Kanban View

Follow these steps to access Kanban View:

  1. Log in to Vtiger CRM.
  2. Click the main Menu.
  3. Click and open a module (for example, Sales > Deals).
  4. Click the Kanban View at the top-right corner of the screen.

The Kanban View of the module opens. Click the List View to switch back to List View.

Understanding Kanban Cards

Each record in Kanban View is displayed as a Kanban card. The information shown on the card depends on the module and Kanban configuration.

For example, in the Deals module, each Deal Card (Opportunity Card) may display:

  • Deal Name
  • Organization Name
  • Assigned To
  • Deal Amount

Clicking a Kanban card opens the record's Summary View.

Customizing the Kanban View

Admins can customize Kanban View for supported modules.

Follow these steps to customize the Kanban View: 

  1. Log in to Vtiger CRM.
  2. Click User Menu. 
  3. Click Settings. The Settings page opens. 
  4. Go to Modules Layout & Fields. The Modules Layout & Fields page opens.  
  5. Select the required module.
  6. Click the Kanban View section.
  7. Enter or select the following information:
    1. Default View By: Select the field used to group records into columns in the Kanban View.
    2. Default Sort By: Select the field used to sort Kanban cards within each column.
  8. Drag and drop the fields to display on Kanban cards.
  9. Rearrange fields using drag and drop.
  10. Click Save.

Once saved, the selected defaults are automatically applied to all users.

Note: You can select up to 5 fields, including mandatory fields such as Entity Name and Assigned To.

Actions in Kanban View

You can perform multiple actions directly from Kanban View without switching to other views.

Changing status using drag and drop

Follow these steps to change the stage or status of a record:

  1. Log in to the CRM. 
  2. Click the main Menu. 
  3. Click and open a module (for example, Sales > Deals).
  4. Click the Kanban View at the top-right corner of the screen.
  5. Identify the Kanban card you want to update.
  6. Click and hold the Kanban card.
  7. Drag the card to the required column (stage or status).
  8. Release the card to update the record.

The stage or status of the record is updated automatically.

Note: Users must have edit permission on the stage/status field to use drag and drop.

Searching Records in Kanban View

Follow these steps to search for records:

  1. Log in to the CRM. 
  2. Click the main Menu. 
  3. Click and open a module (for example, Sales > Deals).
  4. Click the Kanban View at the top-right corner of the screen.
  5. Click the Search bar.
  6. Enter keywords related to the record.
  7. Matching records are displayed instantly.

Changing the View by and Sort by Field

Follow these steps to change the sort by and View by of Kanban cards:

  1. Log in to the CRM. 
  2. Click the main Menu. 
  3. Click and open a module (for example, Sales > Deals).
  4. Click the Kanban View at the top-right corner of the screen.
  5. Click the View by & Sort by option.
  6. Enter or select the following information:
    1. View By: Select the field used to group records into columns in the Kanban View.
    2. Sort By: Select the field used to sort Kanban cards within each column..

Cards are rearranged based on the selected option.

Hiding Empty Columns

Follow these steps to hide columns with no records:

  1. Log in to the CRM. 
  2. Click the main Menu. 
  3. Click and open a module (for example, Sales > Deals).
  4. Click the Kanban View at the top-right corner of the screen.
  5. Click More. 
  1. Enable the Hide Empty Columns option.

Columns without records are hidden to reduce clutter. 

Editing a Record from Kanban View

Follow these steps to edit a record:

  1. Log in to the CRM. 
  2. Click the main Menu. 
  3. Click and open a module (for example, Sales > Deals).
  4. Click the Kanban View at the top-right corner of the screen.
  5. Locate the required Kanban card.
  6. Click More on the card.
  7. Click Edit.
  8. Modify the required fields.
  9. Click Save.

Deleting a Record from Kanban View

Follow these steps to delete a record:

  1. Log in to the CRM. 
  2. Click the main Menu. 
  3. Click and open a module (for example, Sales > Deals).
  4. Click the Kanban View at the top-right corner of the screen.
  5. Locate the required Kanban card.
  6. Click More on the card.
  7. Click Delete.
  8. Confirm the deletion.

Access and Permission Rules

  • Users without access to the stage/status field cannot see the Kanban View option.
  • Users restricted by role cannot view restricted stages.
  • Users without edit permission cannot drag and drop cards across stages.
