Introduction

Email is one of the primary communication channels worldwide. Vtiger provides built-in email tools to send and receive email right from the CRM. To do so, you need to configure a few email settings in the CRM.

The Outgoing Server routes Vtiger CRM to the email server to send emails. Emails sent from Vtiger are forwarded FROM user-defined email addresses but sent through the Vtiger email server. Admins can change the outgoing email server from Vtiger to the email server.

Vtiger supports different email services and provides options to configure outgoing and incoming mail servers, synchronize emails, manage sender identities, and define organization-wide email preferences.

Email settings configuration enables you to:

  • Send emails directly from CRM records.
  • Receive replies inside the CRM.
  • Track customer conversations.
  • Synchronize emails with mailbox providers.
  • Automate email communication.

Note:

  • The Outgoing Server routes vtiger CRM to the email server to send emails.
  • Emails sent from Vtiger are forwarded using the FROM user-defined email addresses but sent through the Vtiger email server.
  • You, as an admin, can change the outgoing email server from Vtiger to the email server.
  • Sending emails through the Vtiger email server is the recommended choice.
  • In Email Settings, you can add HelpDesk Email IDs from which your Case reply emails are sent. The default limit for HelpDesk Email IDs is based on your edition.
  • You can increase the number of Helpdesk IDs with the Helpdesk Email ID Booster.

Vtiger email server allows user-defined FROM addresses to be used for sending emails. Some email servers, such as Gmail, do not permit overriding FROM addresses. (Vtiger validates that the FROM address belongs to you before allowing you to use it).

Benefits

The benefits of configuring email settings are:

  • Centralized customer communication.
  • Send and receive emails directly from CRM.
  • Synchronize emails with external mailboxes.

Configuring the Outgoing Mail Server Settings(SMTP)

The Outgoing Server settings, or SMTP servers, are used to route vtiger CRM to the email server to send out emails; more specifically, whether emails are sent with or without first authenticating your user information. Change the mail account for outgoing emails from the Vtiger server to your mail server. The emails you send will traverse your server.

You can select the following server types to configure SMTP:

  • Gmail
  • GSuite
  • Microsoft or Office 365
  • Yahoo
  • Vtiger
  • Others

For Gmail, Yahoo, Hotmail accounts

Follow these steps to configure Gmail Server Settings:

  1. Log in to the CRM.
  2. Click the main Menu.
  3. Click Settings in the bottom-left corner of the screen. The Settings page opens.
  4. Go to Configuration.
  5. Click Email Settings. The Email Settings page opens.

  • If the from email is not specified, the emails will be sent via the email ID of the current login user. To learn more about this, click here. Note: When customers enable 2-factor authentication for a Gmail account, they need to give an app-specific password in the password field to sign in.

Troubleshooting Tips

The following are some common issues users face when configuring email settings.

  1. Azure Mail Server Settings Not Updating: When configuring the Azure SMTP server in Vtiger CRM, the mail server settings do not save or update correctly.
    1. Follow the video tutorial and the linked guide to resolve the issue and complete the SMTP setup successfully.
  2. SMTP connect() failed error: The system shows an SMTP connect() failed message after entering SMTP details under Other server type and attempting to save.
    1. To confirm that your email credentials and server settings are correct, test them in Thunderbird. Follow the linked guide to fix the issue.
  3. Google Authentication issues when using the same email address across multiple instances.
    1. If you are unable to authenticate your email account or notice that schedulers are not running automatically, it may be due to using the same Google email address across multiple WS or .com instances. Google restricts multiple simultaneous authentications for security reasons.
    2. Follow these steps to restore access and allow the same email ID to be used again:
      1. Open your Google Account Settings.
      2. Go to Security > Third-party apps with account access.
      3. Find and select Vtiger from the list.
      4. Revoke access by removing all Vtiger connections.
      5. Return to your instance and re-authenticate your Google email account.
After revoking and reconnecting, the email account should authenticate normally, and schedulers will resume working automatically.
