How do I check my Email Campaign's Spam Score?

Follow these steps to check your email campaign's spam score:
  • Step 1: Generate a Test Email Address
  • Step 2: Create a Dummy Contact in Your CRM
  • Step 3: Send Your Campaign to the Test Email Address
  • Step 4: Check the Spam Score
Note: The following steps need to be performed in MailTester and the CRM. Keep the pages open in different tabs and windows.

Step 1: Generate a Test Email Address

Follow these steps to generate a Test Email Address:
  1. Visit MailTester (www.mail-tester.com) or AboutMy.Email (https://aboutmy.email/).
  2. Copy the unique test email address provided.
Note: Keep the test tool page open so it retains the email ID you copied. Refreshing or closing this page will create a new address. Proceed to Vtiger CRM.

Step 2: Create a Dummy Contact in Your CRM

Follow these steps to create a dummy contact in the CRM:
  1. Log in to the CRM. 
  2. Click the main Menu.
  3. Go to Essentials > Contacts. The Contacts module page opens 
  4. Click +Add Contacts. The Add Contacts window opens.
  5. Enter or select the following information:
    1. First Name: Enter the first name of the contact. E.g., Mail Tester.
    2. Last name: Enter the first name of the contact. E.g., About Mail.  
    3. Primary Email:  Paste the test email address. 
  6. Fill in all the mandatory fields.
  7. Click Save

Step 3: Send Your Campaign to the Test Email Address

Follow these steps to send a campaign to the test email address:
  1. Log in to the CRM. 
  2. Click the main Menu.
  3. Go to Marketing > Email Campaigns. The Email Campaigns List View opens.
  4. Select the campaign you want to send. 
  5. Go to the Recipients section. 
  6. Click Create a new marketing list. The Adding new > Marketing List window opens. 
  7. Enter or select the following information to create a new marketing list:
    1. List Name:  Enter a name for the marketing list.
    2. Add Subscribers: Choose Contacts to add subscribers from your CRM.
    3. Add Conditions: Click +Add Conditions to add criteria.
    4. Last Name: Select Last Name from the dropdown.
    5. Condition: Choose Equals from the dropdown.
    6. Textbox: Enter Tester in the textbox to include the MailTester or Aboutmail.com contact created earlier.
    7. Apply: Click this to apply the condition.
    8. Checkboxes: Enable both checkboxes at the bottom.
    9. Done: Click to finalize the list.
  8. Click Send Now in the top-right corner.
  9. Wait for the campaign status to change to Completed.

Step 4: Check the Spam Score

Follow these steps to check the spam score:
  1. Switch back to the MailTester or AboutMy.email.
  2. MailTester: Click check your score to view the results.
  3. AboutMy.email: Wait a few seconds for the tool to calculate the spam score and display relevant metrics.
  4. Review the detailed report, including:
    1. Spam Score - Indicates how likely your email is to be flagged as spam.
    2. Authentication - Checks your SPF, DKIM, and DMARC settings.
    3. Content Feedback - Flags any spammy language or formatting issues.
    4. Technical Structure - Ensures your email size and technical compliance are correct.

Step 5: Optimize Your Email Based on Feedback

  1. Use the insights from the spam score and report to improve your email content and setup. This might include:
    1. Adjusting your email’s language or structure to avoid spam triggers.
    2. Ensuring proper authentication (SPF, DKIM, DMARC) to increase deliverability.
    3. Fixing any technical or compliance issues.
