Working of Vtiger CRM Bot in Google Chats

Using the Vtiger CRM bot in Google Chats is effortless. There are two ways in which you can make the most of the Vtiger CRM bot. They are:

  • Adding Vtiger CRM bot as an individual chat to have a one-to-one conversation and retrieve information for yourself.
  • Adding Vtiger CRM bot in chats or spaces to retrieve and share information with others. 

As an individual chat

Follow these steps to start a chat with the Vtiger CRM bot:

  1. Log in to your G-suite account.
  2. Click the + icon next to the Chat or Spaces tab to start a new conversation.
  3. Click the Find a bot option. 
  4. Search for Vtiger CRM bot.
  5. Click on the Chat button.
    • Note: If you select Add to Space, you can add the bot to any existing space.

An individual chat window opens. Here you can have a one-to-one conversation with the Vtiger CRM bot and retrieve information for yourself using these specific commands.

In Chats and Spaces 

Follow these steps to use the Vtiger CRM bot in chats or spaces:

  1. Log in to your G-suite account.
  2. Go to an existing chat or space.
  3. Click the name on the top of the chat or space.
  4. Click the Add bots (in Chats) or Add people & bots (in Spaces) option.
  5. Search for Vtiger CRM bot.
  6. Click Send.

The Vtiger CRM bot will be added to the respective chat or space. You can enter commands to the bot to fetch information from the CRM and share it with others.


Commands for Vtiger CRM Bot

For the bot to fetch information from the CRM, you must provide specific commands.

Vtiger CRM bot supports the following commands:

  • /vtiger_contacts *keyword* - Fetches records from Contacts module based on the keyword.
  • /vtiger_deals *keyword* - Fetches records from Deals module based on the keyword.
  • /vtiger_tasks *keyword* - Fetches records from Tasks module based on the keyword.
  • /vtiger_events *keyword* - Fetches records from Events module based on the keyword.
  • /vtiger_cases *keyword* - Fetches records from Cases module based on the keyword.
  • /vtiger_search *Module name* *keyword* - Searches records from other modules. For example - /vtiger_search Articles Projects
  • @Vtiger CRM help - Provides a list of all the commands for your reference.

Only the current command pattern works with the Vtiger CRM bot. If you provide commands in different patterns, the bot displays the list of all acceptable commands.

Once you provide the command to the Vtiger CRM bot, it searches the CRM and fetches the information. There are three possibilities:

  • If there is only one record for the given keyword, then the bot will display the key fields of that record. You can click View to see more details of that record. 
  • If there are multiple records for the given keyword, the bot will display the name of all the records. You can click View to see more details of a particular record. 
    • Only 20 recently modified records are displayed per page.
  • If there are no records for the given keyword, the bot will display a ‘No records found’ message.
 

Note: You can use the Vtiger CRM bot in Google Chats only if you are an active CRM user. If not, you will be asked to sign up for the CRM. 


Removing Vtiger CRM Bot in Google Chats

Removing Vtiger CRM bot chat

Follow these steps to remove the Vtiger CRM bot as an individual chat:

  1. Log in to your G-suite account.
  2. Click the + icon next to the Chat or Spaces tab.
  3. Search for Vtiger CRM bot.
  4. Click the name on the top of the chat.
  5. Click Remove.

You have successfully removed the Vtiger CRM bot as a chat. 

Removing Vtiger CRM bot from chats and spaces

Follow these steps to remove the Vtiger CRM bot from chats and spaces:

  1. Log in to your G-suite account.
  2. Go to the chat or space from which you wish to remove the bot.
  3. Click the name on the top of the chat.
  4. Click View Members.
  5. Hover over the Vtiger CRM bot and click the More icon.
  6. Click Remove from space.

You have successfully removed the Vtiger CRM bot from the chat or space.
