Adding Vtiger CRM to Outlook

Get started by installing and setting up the Outlook integration to enable seamless access to your Vtiger CRM data from within Outlook.

Step 1: Installing the Vtiger CRM App in Microsoft Outlook

Follow these steps to install the Vtiger CRM app:

  1. Log in to Microsoft Outlook.
  1. Click on Apps. The Apps window opens.
  2. Search for Vtiger CRM in the Search bar.
  3. Click Vtiger CRM. The Vtiger CRM window opens. 
  4. Click Add. The Added Successfully message pops up.

Once added, go to the My CRM tab and allow the pop-up window to display the OAuth consent screen. If you are already registered with Vtiger CRM, your dashboard will automatically appear. Otherwise, you will be prompted to complete the sign-up process. 

Note

  • The sign-up process takes approximately 1–2 minutes to complete.
  • The Vtiger CRM app can also be integrated with Microsoft Outlook channels, groups, and the compose extension in Outlook

Signing Up for Vtiger CRM from Microsoft Outlook or Logging In to Vtiger CRM from Microsoft Outlook 

You can access your Vtiger CRM account from Microsoft Outlook by either signing up for a new account or logging in with your existing credentials—all without leaving the Outlook interface.

Signing Up for Vtiger CRM from Microsoft Outlook

If you don’t have a Vtiger CRM account, you can create one from within Microsoft Outlook.

Follow these steps to sign up for Vtiger CRM from Microsoft Outlook:

  1. Log in to Microsoft Outlook.
  2. Go to the Vtiger CRM app from the left panel.
  3. Go to the Chat tab.
  4. Click Signup. The vtiger.com page opens. 
  5. Click on the 15-day free trial.  
  6. Complete the form to create an account.

Your CRM will be available under the My CRM tab in Outlook. Once Sign in is successful, you will be able to access modules like:

  • Contacts
  • Deals
  • Tasks
  • Reports
  • Cases
  • Dashboards

If your Outlook account is already added to a Vtiger CRM account, you will be logged in automatically. 

Logging in to Vtiger CRM from Microsoft Outlook

If you already have a Vtiger CRM account, you can easily log in to your account from within Microsoft Outlook without creating a new one.

Follow these steps to log in to Vtiger CRM from Microsoft Outlook:

  1. Log in to Microsoft Outlook.
  2. Go to the Vtiger CRM app from the left panel.
  3. Click on the My CRM tab.
  4. Click the Sign In button.
  5. A pop-up window appears, redirecting you to the Vtiger CRM login page.
  6. Enter your Vtiger CRM login credentials (email and password).
  7. Click Sign In.

On authentication, your CRM dashboard will be displayed in Outlook >  My CRM tab. You will be able to access modules like:

  • Contacts
  • Deals
  • Tasks
  • Reports
  • Cases
  • Dashboards

Using Vtiger CRM in Microsoft Outlook

You can access and perform CRM-related actions directly within Microsoft Outlook using the My CRM tab.

Follow these steps to use Vtiger CRM in Microsoft Outlook:

  1. Log in to Microsoft Outlook
  1. Go to the Vtiger CRM app from the left panel.
  2. Your Vtiger CRM dashboard opens inside Outlook.
  3. Use the left sidebar to navigate to modules like Contacts, Deals, Tasks, and more.
  4. Click on any module to view and manage related records.

The Contact record includes the Microsoft Outlook Last Login Date field, which shows the most recent time the Contact accessed the Vtiger app through Microsoft Outlook.

Sharing Vtiger CRM records from Microsoft Outlook 

Follow these steps to share Vtiger CRM records from  Microsoft Outlook:

  1. Log in to Microsoft Outlook.
  2. Click Outlook.
  3. Click on the mail. The Compose window opens. 
  1. Click Insert
  2. Click on Apps
  3. Click Vtiger. The Vtiger CRM window opens.
  4. Choose the record you want to share.
  5. Fill in the details in the Compose window.
  6. Click Send.
CRM records are shared as interactive cards in Microsoft Outlook conversations, displaying key details such as name, email, or deal stage. Team members can click the card to open the full record in Vtiger CRM.

Using Vtiger CRM in the Microsoft Outlook Mobile App

You can use Vtiger CRM directly from the Microsoft Outlook mobile app. If you have already used Vtiger CRM in the desktop(web or desktop app) of Outlook, the app will automatically log you in on mobile when you use the same credentials.

Follow these steps to use Vtiger CRM in the Microsoft Outlook mobile app:

  1. Download and install the Microsoft Outlook app from the Google Play Store or Apple App Store.
  2. Open the app and log in using the same Microsoft Outlook account you used on the desktop(web or desktop app).
  1. Click Apps
  2. Look for Vtiger CRM.
  3. Click Vtiger CRM.
    1. If you have already used the Vtiger CRM app on the desktop, it will be automatically available and logged in.
    2. If not, sign in or sign up to start using it.

Uninstalling the Vtiger CRM App from Microsoft Outlook 

If you no longer need the Vtiger CRM integration in Microsoft Outlook, you can remove it.

Follow these steps to uninstall Vtiger from Microsoft Outlook:

  1. Log in to Microsoft Outlook.
  2. Locate the Vtiger CRM app in the left sidebar.
  1. Right-click on the app name.
  2. Click Uninstall from the menu.
  3. Confirm the uninstallation when prompted.

The Vtiger CRM app will now be removed from your Microsoft Outlook account.

Troubleshooting Tips

Problem: For web users: OAuth consent screen not showing up
Solution:

  • Disable your browser’s pop-up blocker or disallow pop-up window in the AdBlocker extension. 
  • If issues persist, try in incognito mode.
  • Reinstall the Vtiger CRM app in Outlook and ensure proper permissions.

Problem: Permission Denied when opening a record from an Outlook alert
Solution:

  • This error typically occurs because your CRM user account does not have the required permissions to access the module or specific record linked in the alert.

Problem: Blank Page When opening My CRM/Pinned Tab in channel/group
Solution: Reload the app from the top-right context menu.
