Introduction
To comply with global anti-spam laws and promote responsible email practices, Vtiger requires an unsubscribe link to be included in all email templates.
Providing an unsubscribe option empowers recipients to choose whether they wish to continue receiving your emails. This not only respects their preferences but also helps protect your sender reputation by reducing the chances of emails being marked as spam.
The following section shows how you can insert an unsubscribe link in your email template.
Adding or Editing Unsubscribe Links in Existing Templates
You can insert or edit an unsubscribe link in an existing email template by:
- Directly editing an existing template, or
- Selecting a template during your email campaign.
Note: Unsubscribe links are available by default in most templates
Editing an Unsubscribe Link in an Existing Email Template
Follow these steps to add or edit an Unsubscribe link in existing templates:
- Log in to the CRM.
- Click the main Menu.
- Click Marketing.
- Go to Marketing Enablement > Email Templates.
- Select the required email template from the List View. The template will open.
- Click Edit in the top right corner.
- Edit the fields like Template Name, Module, etc., if required.
- Scroll down to the content textbox till you see the Unsubscribe link. You can change the available text and add your own URL in this section.
- Note: Click the Template Builder icon on the right if the Unsubscribe link is not visible.
- Follow these steps to change the available text for the Unsubscribe link:
- Click on the available text.
- Delete the text.
- Add your own.
- Follow these steps to add your email URL:
- Double-click the link. The Link window opens.
- Enter or select the following information:
- Display text: Enter the Display text.
- Link Type: Select URL from the drop-down.
- Protocol: Select http from the drop-down
- URL: Paste the related URL.
- Click OK.
- Click Preview to view the changes you have made.
- Click Save.
Editing Unsubscribe Link in an Active Email Campaign
Follow these steps to edit an unsubscribe link during an email campaign:
- Log in to the CRM.
- Click the main Menu.
- Go to Marketing.
- Select Email Campaigns.
- Click +New Email Campaign.
- Enter or select the following information:
- Campaign Name: Enter the campaign name.
- Campaign Type: Select the campaign type.
- Recipients: Select a marketing list from the drop-down or click Create New Marketing List to create a new one.
- Sender Information: Enter From Name, From Email, and Reply-To email address.
- Click Content > Select Template.
- Select from one of the available templates.
- Scroll down to the content textbox till you see the Unsubscribe link. You can change the available text and add your own URL in this section.
- Follow these steps to change available text:
- Click on the available text.
- Delete the text.
- Add your own.
- Follow these steps to add your email URL:
- Double-click the link. The Link window opens.
- Enter or paste the following information:
- Display text: Enter the Display text.
- Link Type: Select URL from the drop-down.
- Protocol: Select http from the drop-down
- URL: Paste the related URL.
- Click OK.
- Click Preview to view the changes you have made.
- Click Save.

To maintain a positive experience for your recipients and comply with anti-spam laws, we recommend including an unsubscribe link when creating new email templates
Follow these steps to add an unsubscribe link for new templates:
- Log in to the CRM.
- Click the main Menu.
- Go to Marketing.
- Click Marketing Enablement > Email Templates.
- Click +Add Email Template.
- Click +Create New.
- Click the Template Builder icon on the right.
- Add required content, such as the Template Name, Module, Subject, etc.
- Scroll down to the content textbox.
- Drag and drop the required Unsubscribe link available on the Content tab on the right.
- Follow these steps to change available text:
- Click on the available text.
- Delete the text.
- Add your own.
- Follow the steps below to edit the Unsubscribe link you added:
- Double-click the link. The Link window opens.
- Enter or select the following information:
- Display text: Enter the Display text.
- Link Type: Select URL from the drop-down.
- Protocol: Select http from the drop-down
- URL: Paste the related URL.
- Click OK.
- Click Preview to view the changes you have made.
- Click Save.
You can view the new template in the Email Templates List View.
