Add-Edit Unsubscribe Links in your Email Template

​Introduction

We at Vtiger try our best to make sure that you make the most out of email campaigns to grow your business. In compliance with the anti-spam laws, we have made it mandatory for you to insert an unsubscribe link in the email templates.

Let your customers decide whether or not to receive emails from you. After all, unsubscribing is the best possible way for your customers to express unwillingness and opt themselves out of the existing emailing list. If not, they may tend to do something perilous, such as reporting spam, which is unhealthy for your email campaigning.

Let us see how you can insert an unsubscribe link in your email template.

Adding or Editing Unsubscribe links in Existing Templates

You can insert or edit an unsubscribe link in an existing email template by:

  • Directly editing an existing template, or,
  • Selecting a template during your email campaign.

Note: Unsubscribe links are available by default in most templates.

Directly editing an unsubscribe link in an existing template

Follow these steps to add or edit an Unsubscribe link in existing templates: 

  1. Log in to the CRM.
  2. Click the main Menu.
  3. Click Marketing.
  4. Click Marketing Enablement > Email Templates. 
  5. Select the required email template from the List View. The template will open.
    1. Click Edit in the top right corner.
    2. Edit the fields like Template Name, Module, etc., if required.
    3. Scroll down to the content textbox till you see the Unsubscribe link. You can change the available text and add your own URL in this section.
      1. Note: Click the Template Builder icon on the right if the Unsubscribe link is not visible.
    4. Follow these steps to change available text for the Unsubscribe link -
      1. Click on available text.
      2. Delete the text.
      3. Add your own. 
    5. Follow these steps to add your email URL - 
      1. Double-click the link. The Link window opens.
      2. Enter or paste the following information:
        1. Display text: Enter the Display text.
        2. Link Type: Select the URL from the drop-down.
        3. Protocol: Select http from the drop-down
        4. URL: Paste the related URL.
      3. Click OK.
    6. Click Preview to view the changes you have made.
    7. Click Save.

Editing an unsubscribe link during an email campaign

Follow these steps to edit an unsubscribe link during an email campaign:

  1. Log in to your CRM.
  2. Click the Main Menu.
  3. Go to Marketing.
  4. Select Email Campaigns.
  5. Click +New Email Campaign.
  6. Enter or select the following information -
    1. Campaign Name
    2. Campaign Type
    3. Recipients 
    4. Sender Information
    5. Click Content > Select Template
      1. Select and click one of the available templates.
      2. Scroll down to the content textbox till you see the Unsubscribe link. You can change the available text and add your own URL in this section.
        1. Follow these steps to change available text -
          1. Click on available text.
          2. Delete the text.
          3. Add your own. 
        2. Follow these steps to add your email URL -
          1. Double-click the link. The Link window opens.
          2. Enter or paste the following information:
            1. Display text: Enter the Display text.
            2. Link Type: Select URL from the drop-down.
            3. Protocol: Select http from the drop-down
            4. URL: Paste the related URL.
        3. Click OK.
    6. Click Preview to view the changes you have made.
  7. Click Save.

Adding Unsubscribe links to New Templates

We want to ensure that the emails you send are fruitful for you and your customers. We recommend that you insert an unsubscribe link for the new templates you create to confirm with anti-spam laws. 

Follow these steps to add an unsubscribe link for new templates: 

  1. Log in to the CRM.
  2. Click the main Menu.
  3. Click Marketing.
  4. Click Marketing Enablement > Email Templates.
  5. Click + Add Email Template.
  6. Click + Create New.
  7. Click the Template Builder icon on the right.
  8. Add required content like the Template Name, Module, Subject, etc.
  9. Scroll down to the content textbox. 
  10. Drag and drop the required Unsubscribe link available on the Content tab on the right.
    1. Follow these steps to change available text -
      1. Click on available text.
      2. Delete the text.
      3. Add your own. 
    2. Follow the below steps to edit the Unsubscribe link you added - 
      1. Double-click the link. The Link window opens.
      2. Enter or paste the following information:
        1. Display text: Enter the Display text.
        2. Link Type: Select URL from the drop-down.
        3. Protocol: Select http from the drop-down
        4. URL: Paste the related URL.
    3. Click OK.
  11. Click Preview to view the changes you have made.
  12. Click Save.

You can view the new template in the Email Templates List View.
